Direct Mail vs Email and Ads: Cost per Response and Meeting

At $10 per postcard, applying ANA's two all-format mail response benchmarks gives $64.10 to $92.59 per response. That is a sensitivity calculation, not a handwritten postcard result. Email clicks and search ad conversions measure different actions. Use the model below to price each step before budgeting meetings. [8] [1]

Calculate response costs, then meetings

Effective cost per piece = (pieces × unit price + allocated fees + other costs) ÷ pieces

Cost per response = effective cost per piece ÷ response rate

Cost per booked meeting = cost per response ÷ (booked meetings / responses)

Use decimal rates in these formulas. Email adds delivered / sent before applying the click rate. For search ads, the starting unit is a paid click, so CPC ÷ click-to-conversion rate gives cost per tracked conversion. Only divide by a meeting rate defined on that same event.

Choose a published starting point, then replace the inputs with your campaign costs and rates. Meeting rate is blank until you enter an assumption. All results below are scenarios, not forecasts.

Starting costs and rates come from the tables below. For mail, the low endpoint is prospects and the high endpoint existing customers. They describe different audiences, not a measured range for one postcard campaign.

Blank other costs are excluded. Add list work, creative, setup, tracking and follow-up where the selected price does not include them. For subscriptions, the default allocates one full monthly fee to this run.

Fractional events are expected values, never guaranteed people. At a zero event or meeting rate, cost per event is not calculable. A booked meeting is not a held meeting or a customer.

Published inputs

A response, a click and a lead are different

Mail: separate prospects from existing customers

ANA's 2023 report gives the following all-format rates. The house-list figure concerns existing customers. The report could not break results out by format or business type. Neither figure isolates handwritten postcards or agency outreach. [1]

AudienceResponse rateRespondents for this metric
Prospect list, all mail formats10.8%25 [1]
House list, all mail formats15.6%26 [1]

The calculator spans these two published audience values for sensitivity. This is not a confidence interval or a typical range for a cold campaign. Actual results can be lower, including zero.

Email: subscriber clicks, not cold replies

Campaign Monitor's 2022 report covers more than 100 billion emails sent in 2021. These selected industries fit agency and local-business planning. A click is an engagement event; it is not proof of interest in a meeting. [2]

Search: keep each industry's CPC and conversion rate together

WordStream / LocaliQ's 2026 report uses 13,474 US search campaigns from April 2025 through March 2026. Its averages are medians. Below, we divide each industry's CPC by its own conversion rate. We also preserve the publisher's CPL: a ratio of separate medians need not match it. [3]

Home & Home Improvement$8.338.05%$103.48$90.92 [3]

These are tracked ad conversions, not necessarily qualified leads or booked meetings. Search includes Google and Microsoft Ads; these rows do not describe Meta ads.

What the published costs buy

These examples show the cost denominator, not a vendor performance comparison. Applying the same generic mail rates to each offer does not establish equal response quality or effectiveness.

Every row uses 10.8% for prospects and 15.6% for existing customers, from ANA, with no handwritten uplift. One full monthly fee is allocated to one run; extra campaign costs are excluded. Fer's 500-card row is arithmetic at the published unit price; its current checkout accepts 50 to 99 cards. [1] [8]

Email transmission is only one cost line

Amazon SES publishes $0.10 per 1,000 outgoing emails on its a la carte schedule. Sending 500 therefore costs $0.05 for that line alone. With 100% delivery assumed and the selected 1.8% to 3.6% click benchmarks, the transmission-only cost is $0.0028 to $0.0056 per click. This excludes attachments, other AWS services, software, list acquisition, setup, creative and follow-up. It is not the total cost of an email campaign. [5] [2]

Postage is also only one cost line

USPS lists $0.65 for an eligible retail domestic postcard. Its Marketing Mail commercial-letter table lists $0.395 for automation 5-digit, entry None, up to 3.5 oz, before qualifying discounts. Those are postage prices, not printed campaign prices. Marketing Mail has no separate postcard rate and requires at least 200 pieces or 50 pounds, plus applicable preparation. Neither postage figure is added again to the postage-included offers above. [6] [7]

Use the model to set a test, not declare a winner

  1. Fees matter at small volumes. Thanks.io Business's $49 fee changes its effective 4x6 price from $0.77 to $1.75 at 50 cards. Use the full cost for the run, not only the advertised unit rate. [4]
  2. The mail rate changes the denominator. For 50 Fer postcards, the two reference inputs imply 5.4 to 7.8 responses and $64.10 to $92.59 per response. These are expected values for different audiences, not observed Fer results. [1] [8]
  3. Search costs vary by sector. The five matched CPC/rate calculations span $28.05 to $177.84 per tracked conversion; the source's own CPL rows span $29.96 to $131.63. Neither range is cost per meeting. [3]
  4. For an agency, define a qualified conversation and booked meeting before mailing. For a local business, define the appointment or estimate request. Count unique attributable people, remove repeat scans and clicks, and reconcile bookings in the CRM. Track held meetings separately.

Use your own follow-up costs and measured meeting rate to compare channels at the same final outcome. The selected sources cannot establish that paying more for a researched postcard produces more meetings, or that cheaper clicks produce better leads.

For price scope, read postcard marketing cost. For postal eligibility, see how much to mail a postcard. For research, creative and follow-up, use the personalized postcard campaign guide.

Methods, exclusions and reproducibility

Collected October 19, 2026: 17 dated observations across 9 source URLs. This is a public-input compilation and original arithmetic model, not a new response-rate survey. It contains two mail rate rows, three email rate rows, five search industry rows, three postcard offers, one email send price, two postage rows and one postal minimum rule. Each raw record includes its URL, access date and source location.

Sampling is purposive: we selected accessible rate and price tables relevant to agencies and local services. We retained only the relevant dated price observations from the earlier collection. ANA's mail rate denominators are 25 prospect-file and 26 house-file respondents. Email covers global subscriber campaigns; the search sample is US-based. Observation counts cannot be added to claim a combined audience sample. [1] [2] [3]

  • Published years differ: mail data is from 2023, email from 2021, and search from 2025 to 2026. October 2026 is our collection month, not the period for every benchmark.
  • These are different populations, objectives and attribution systems. We do not pool them, infer causality, or assert a handwritten-format advantage. No applicable meeting benchmark was verified.
  • The postcard table allocates one monthly fee to one campaign and excludes additional costs. Email uses the published base transmission charge and explicitly assumes 100% delivery. Replace both defaults for your operation. Taxes, optional add-ons and price changes are not modeled.
  • Expected responses may be fractional; small tests can produce no responses. A cost divided by zero is reported as not calculable. A range here is the spread of selected published inputs, not a statistical interval.

Questions about the model

Do handwritten postcards get more meetings than email?

The sources collected here do not establish that. ANA's mail rates combine formats, email benchmarks measure clicks, and search benchmarks measure tracked conversions. None supplies a meeting rate for Fer Marketing. Its postcards use a printed handwriting-style typeface.

How do I calculate direct mail cost per response?

Divide total campaign cost by attributable responses. For planning, divide effective cost per mailed piece by the response rate as a decimal. Include applicable platform fees, list costs, creative and labor. A source benchmark is a sensitivity input, not a promised result.

How much is a Fer Marketing postcard campaign?

The published price is $10 per personalized postcard, minimum 50 ($500). It includes research, website review, design, the QR report page, printing and USPS First-Class postage. The current online order form accepts 50 to 99 cards. The 500-card example is unit-price arithmetic.

What meeting rate should I use?

Use your own booked meetings divided by the same response, click or conversion event used in the model. If you have no measurement, enter an assumption and label it. The calculator leaves this field blank because no applicable sourced meeting rate was verified.
